We are seeking a Client Service Specialist who is highly motivated and possesses a deep understanding of Australian financial workflows. We need a proactive professional who can move beyond simple data entry to master end-to-end documentation, institutional liaison, and coordination.

As a Client Service Specialist, your responsibilities include:

  • Coordinate and prepare all essential materials for client reviews and new business consultations.
  • Prepare, audit, and process documentation for transactions and applications, ensuring seamless delivery to institutions and monitoring through to completion.
  • Execute adviser instructions with precision, ensuring all tasks are finalized within regulated timeframes.
  • Maintain accurate, compliant client records within XPLAN and associated databases, upholding strict data integrity standards.
  • Handle sensitive information in full alignment with company privacy policies and industry compliance standards.
  • Adhere to all organizational workflows, OH&S requirements, and the professional Code of Conduct.
  • Draft high-quality client communications and technical documentation.
  • Act as a primary point of contact for fund managers, insurers, SMSF providers, accountants, and legal professionals to facilitate client outcomes.
  • Monitor ongoing tasks and advocate for timely resolutions with third-party providers.
  • Work across departments to meet collective business objectives and foster a culture of accountability and respect.
  • Maintain an advanced knowledge of financial products, systems, and evolving business processes through active participation in training and development.
  • Prioritize daily administrative workloads effectively and provide ad-hoc support to management as required.

Qualifications:

  • Bachelor’s degree in Financial Management, Business, Banking and Finance, Economics, or any related field.
  • Intermediate knowledge of the financial services industry is highly desirable.
  • Experience in the financial planning industry is highly advantageous.
  • Experience using XPLAN and Microsoft Office preferred.
  • Strong customer service, communication, and interpersonal skills.
  • Ability to collaborate effectively with internal and external stakeholders.
  • Excellent planning, organizational, and problem-solving abilities.
  • Strong computer and administrative skills with high attention to detail and accuracy.
  • Ability to manage multiple tasks, prioritize effectively, and work independently in a fast-paced environment.
  • Strong analytical, decision-making, and conflict resolution skills.
  • Ability to work autonomously and as part of a team.
  • Proactive, adaptable, and resilient mindset with willingness to learn.
  • High level of integrity and ability to handle confidential information with discretion.
  • Commitment to ongoing professional development, process improvement, and operational efficiency.
  • Willingness to be assigned in Subic Bay Freeport Zone or SM City Clark, Pampanga.
