Can you ensure accurate and timely execution of all administrative duties, including Fin365 data management and client summary preparation, while providing essential support to the Private Wealth Team?

We need a Private Wealth Team Admin who can guarantee delivery of client-related documentation, while maintaining a collaborative working relationship with our clients/

As a Private Wealth Team Admin your duties and responsibilities include:

  • Maintain accurate and up-to-date client and financial records within Fin365.
  • Create and integrate prospect client profiles in Fin365.
  • Identify and resolve data discrepancies in Fin365 and SharePoint, as well as flag outdated documents to the relevant client services team member.
  • Update post-review and Statement of Advice (SoA) meetings.
  • Generate and reconcile forms for ongoing adviser fee maintenance, identifying and addressing discrepancies.
  • Generate necessary forms to implement recommended strategies based on the review and analysis of advice documents.
  • Prepare tax packs for Self-Managed Superannuation Funds (SMSFs) and deliver them to client accountants.
  • Ensure accurate settlement of asset trades following implementation and draft client investment confirmation emails.
  • Manage the admin team inbox, initiating Fin365 workflows as required.
  • Provide timely and concise summaries of client financial situations (Personal Risk Files – PRFs) to advisers in preparation for client review meetings.
  • Assist with ad-hoc client service requests and support the client services team with project work.
  • Identify and suggest process improvements and efficiencies within the client service workflow.

Qualifications:

  • Bachelor’s degree in Accountancy, Financial Management, Business, Banking and Finance, and Economics or any equivalent.
  • At least two years of experience in a financial services environment.
  • Diploma and/or Advanced Diploma of Financial Services (ADFS) or demonstrated success in continuing ADFS studies is preferred.
  • Proficiency in Microsoft Word and Excel.
  • Excellent communication skills, both written and verbal.
  • Strong financial analysis and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.
  • Knowledge of financial products, providers, and platforms is highly advantageous.
  • Commitment to ongoing professional development.
  • Ability to handle sensitive information with discretion and integrity.
  • Adaptability and willingness to learn.
  • Willing to be assigned to Clark, Pampanga, Subic Bay Freeport Zone, Balanga City, Bataan, Tarlac, or Iba, Zambales.
